How East Asian International School collects, uses, and protects the information of our students, parents, and website visitors.

Last updated: August 2026

East Asian International School (“the School”, “we”, “us”, or “our”) respects your privacy. This Privacy Policy explains what information we collect through eastasian.lk, why we collect it, and how it is used and protected, whether you are a prospective parent, an enrolled student, or simply visiting the website.

We never sell your data

Personal information is not sold or rented to third parties.

Protected student records

Students and parents only see their own or their linked child's records.

Secure sign-in

Portal passwords are hashed and never stored in plain text.

01. Information We Collect

We collect information in the following ways:

  • Enquiry and contact forms — name, phone number, email address, and your message when you submit an admissions or general enquiry.
  • Career applications — name, email, and CV file when you apply for a position through our careers page.
  • Student and parent portal accounts — a username and securely hashed password used to sign in, plus academic records linked to your account such as marks, attendance, term reports, and exam schedules.
  • Parent–child links — where a parent account is linked to one or more student accounts so parents can view their own child’s academic records only.

02. How We Use Your Information

Information collected through this website is used to:

  • Respond to admissions and general enquiries;
  • Process career and job applications;
  • Provide students and parents secure access to marks, attendance, report cards, and exam schedules through the portal;
  • Share school news, events, and announcements relevant to you; and
  • Maintain the security and proper functioning of the website.

We do not sell or rent personal information to third parties.

03. Children’s Information

As a Kindergarten to Grade 12 school, we hold academic records belonging to students who are minors. This information is entered and managed by the School and is only accessible to the relevant student’s own account and to the parent or guardian account linked to that student. We do not knowingly collect personal information directly from children through open, public forms on this website; all student data originates from official School records.

04. File Uploads and Storage

Documents such as report cards, exam papers, downloadable resources, and CVs submitted through career applications are stored using UploadThing, a third-party file storage service. These files are only accessible through authenticated links generated by our systems and are not publicly listed.

05. Cookies

This website may use essential cookies or similar local storage to keep you signed in to the student or parent portal and to remember basic site preferences. We do not use cookies for third-party advertising.

06. Third-Party Services

Some features on this website rely on third-party services, including our official Facebook page (for displaying recent posts) and Google Maps (for showing our campus location). These providers may process standard technical data (such as your IP address) according to their own privacy policies when their content is loaded on our pages.

07. Data Security

Portal passwords are stored using industry-standard hashing and are never saved in plain text. Access to student academic data is restricted by account type: students and parents can only view records belonging to themselves or their linked children, and administrative data is only accessible to authorised School staff.

08. Data Retention

We retain enquiry and application information only as long as needed to respond to your request. Student academic records are retained for as long as the student is enrolled at the School and afterwards as required for our academic record-keeping obligations.

09. Your Rights

You may contact us at any time to ask what information we hold about you or your child, to request a correction, or to ask us to delete information that is no longer required (for example, an old enquiry submission). We will respond to reasonable requests within a reasonable timeframe.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to the website or our practices. The “Last updated” date at the top of this page shows when it was last revised.
